What prompted you to investigate training options?

We hadn't had training since our initial implementation when we switched from IRM 6.3.  We have had some staff turnover and honestly weren't using the software to its potential.  All of that said, and because we have  people who learn by doing, we thought it would be good to have a comprehensive set of training sessions.

How did you go about deciding what training you needed?

We determined who the most frequent users were and what level of use the staff had of the program. We realized that when you are doing training you need to start with the most basic level information first and then we coupled that with more advanced topics. Even frequent users got something out of the basics. Sometimes you don't realize what you don’t know. We set up our training so that we covered the basics for the first hour and the second hour of the sessions was spent covering specific questions from more experienced users.

What did you hope to gain?

“better efficiencies and more broad use of Membee”

We hoped to gain better efficiencies and more broad use of Membee. We wanted to learn what else Membee could do that we weren't using it for and to find out about new Modules not being used.

Another goal was to get everyone to be more self -sufficient so they could look things up and run reports themselves. It will take the burden off one or two people when anyone can access the information or easily run reports themselves.  We wanted more people to be fluent and the training has helped people to go look at things themselves. 

Do you have any recommendations for others considering training?

Get feedback ahead of time about what training is needed. It makes your staff think about it – what do you want to do better in Membee? We also had our staff sit in their individual offices when they signed on for the training to minimize distractions.

Staff may tell you they don't need certain things but you need to tell them that they do need to attend. We made attendance mandatory. For example, even if you are in sales you should attend a financial session because a lot of what you do when you are entering information is what is needed to make the financial reports work .

When you are not using the software every day it is easy to forget really quickly what you learned and you need to use the training (run a report so you remember how to run a report). For the most part people are really trying to use what they learned.

What benefits have you realized?

We are implementing some new things and are thinking about moving from Constant contact to MailChimp.  It helped everyone to realize that keeping the database clean and up-to-date is something that we all have a stake in managing.  Having training reinforces the need for the data entered to be good if the program is to be efficient.

You mentioned that you are thinking of making the training an annual event.  Why?

There is staff turnover and sometimes you have a new employee.  Long term staff also all need to be reminded about how their tools work and the best way that they can use them.  Membee changes too and we want to be able to keep up with the changes and how they affect and can enhance what we do.
