Use the Batch Membership Management Report to save time and make data maintenance easier. Ensure data consistency in your data records by using this awesome report’s features for tasks like dropping members or renewing returning members.
Create a favorite report for Cancelling or Renewing members. Saving a favorite version of the Batch Membership Management report for those tasks:

Cancelling/Suspending Members
When a member cancels there are a number of steps needed to properly close out a record. You will need to:
- Change the membership status
- Deactivate user access to member only content on your website
- Remove Integrated Login and / or Program Access
- Deactivate online Directory listings
- Write off outstanding invoices
- Remove members from Committees and Groups
Create a favorite of the batch report to make sure that these steps are performed consistently each time a member is dropped. You could be dropping a group of members who haven’t paid their membership fees or only a single member who is moving and no longer wants to retain their membership. In either case, using a favorite of the report will save time and ensure that nothing is forgotten.
You can also choose to have the batch report:
- Create a note to the file on each member record
- Create a follow up to do for a member of your staff on each member record
- Send an email message to your member advising them of the cancellation and put a copy of the email in the notes section of the member’s record
- Create an action summary and place a copy of that in the notes section of the member record

Renewing Cancelled / Suspended Members
Remember that you can also use the Batch Membership Management Report when you renew a cancelled/suspended member too. Renewing the member often means that you are changing the status of the person from a status with a non-member or prospect type to a status with a member type. There are generally a number of steps that also need to be completed when a member who had been cancelled/suspended is renewed and the batch report is a very helpful automated system way for you to make sure that all those required tasks are done. Save a version of the renewal filters on the report as a favorite and use it each time a member or a group of members are renewed .
